Who we are

This website is operated by Virtual Management Services Ltd, trading as Ronel Van Der Spuy | Dental Practice Consultant. Our registered address is Nuttington, Stoney Lane, Thatcham, RG18 9HQ, United Kingdom.

What information we collect

We collect personal information only when you choose to provide it. This happens in three ways:

  • Contact form: when you submit an enquiry, we collect your name, email address, and any message you include.
  • The Practice Overwhelm Audit: if you complete the audit and ask for your breakdown, we collect your email address and your six section scores. Your answers are scored in your own browser, so we receive the section totals only, never which option you selected on a given question.
  • Calendly: if you book a call through a Calendly link, Calendly collects your name and email address to schedule the appointment. Calendly's own privacy policy applies to that process.

We do not use tracking cookies, analytics software, or advertising pixels on this website.

How we use your information

Information you provide through the contact form is used solely to respond to your enquiry and, if appropriate, to follow up about working together. We do not use it for marketing.

If you complete the audit and give us your email address, we use it to send you your result and to follow up about the audit and related material. That is a marketing use, and you consent to it when you submit the form. Every email we send includes an unsubscribe link, and you can opt out at any time.

Legal basis for processing

For contact enquiries, we process your data on the basis of legitimate interests — specifically, to respond to people who have chosen to contact us.

For the audit, we process your data on the basis of consent, given when you submit your email address to receive your result. You can withdraw that consent at any time.

How we store and protect your information

Enquiries submitted through the contact form are delivered to us via Formspree, a third-party form processing service, which stores submissions on secured servers. Formspree is based in the United States, so enquiries are processed outside the UK under the safeguards set out in their data processing terms.

Audit results and email addresses are held in MailerLite, an email marketing service based in the European Union.

No personal data is stored on this website itself. Emails and records of enquiries are held in standard business email and document systems, access to which is restricted to Ronel Van Der Spuy.

How long we keep your information

We retain contact enquiry records for up to 24 months, after which they are deleted unless an ongoing business relationship requires otherwise.

Audit results and email addresses are kept until you unsubscribe or ask us to remove them, and are reviewed every 24 months so that details we no longer need are deleted.

If you would like your information deleted sooner, contact us and we will action this promptly.

Sharing your information

We do not sell, rent, or share your personal information with third parties, except where required by law or where necessary to deliver a service you have requested — such as Formspree processing your form submission, MailerLite sending your audit result, or Calendly processing your booking.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to processing of your data
  • Request restriction of processing
  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk

Third-party services

This website uses Google Fonts, loaded from Google's servers, which may collect standard server log data including your IP address. Please refer to Google's privacy policy for details.

We also use Formspree, MailerLite and Calendly, each of which has its own privacy policy governing how it handles your data.

Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects when it was last revised. Continued use of this website following any changes constitutes acceptance of the revised policy.
